Switching Valet Trash Providers Without a Gap in Service

Most of our properties came from another provider. Here is the whole process, including the parts that worry managers most.

Before you do anything else

Most valet contracts need written notice, and the notice window — not the contract end date — is what actually controls your timing. Get this step right and everything downstream is easy.

Step 0 — check your current agreement’s notice clause. Most valet trash contracts require 30, 60 or 90 days’ written notice. If your agreement auto-renews, the notice window matters far more than the end date — usually 30 to 60 days out. Send that notice first. We then set your PPWS launch date for the day after your current provider stops, so nothing falls in the gap.

The 14 days, phase by phase

Once your current agreement is handled, this is the whole sequence we run. Eleven steps, grouped into four phases.

Days 1–3 · Paperwork and onboarding

  • Signed agreement and Service Order
  • Vendor onboarding requirements and invoice contacts collected
  • COI and additional-insured documentation issued as required

Days 4–7 · Route and access setup

  • Final property walkthrough and route map
  • Billing basis and disposal locations confirmed
  • Gate codes, keys, access windows and emergency contacts confirmed

Days 8–10 · Resident communication

  • Set-out rules and prohibited-waste policy approved
  • Resident notice drafted and checked before it goes out
  • Route staffing, PPE and equipment assigned

Days 11–14 · Launch and review

  • Pre-launch safety briefing
  • Service goes live
  • First-week quality review with the property manager

The five questions managers actually ask

Switching a service that residents depend on is a real risk. These are the five things that make a manager hesitate — answered directly rather than left for you to find out.

1. “What if there’s a gap in service while we hand over?”

No gap in service, by design. Two things have to be true before we set a launch date: your current provider is still servicing the property up to the night before we start, and your notice period is confirmed in writing. We do not start mid-handover and hope.

If your provider walks early, call us that day. We will pull the launch forward if we can staff it — and if we cannot, we will say so on the day rather than leave you guessing.

2. “We’re locked into a contract with a notice period. How does that work?”

This is the most common practical blocker, which is why it is Step 0 above. You send the notice under your existing agreement; we set our start date to follow it. We are never going to ask you to break a contract to work with us.

3. “Who owns the bins during the changeover?”

Settled in week one — not on night one. In most cases your current provider owns the containers they supplied and collects them when they leave. Our standard model is resident-supplied, properly sealed bags set out at the door.

If your residents rely on containers, tell us before the switch date. We can supply containers and price them into your agreement, or your current provider may agree to leave or sell them. What we will not do is discover this on your first service night.

4. “Will residents be disrupted, and who tells them?”

What residents will notice: a different uniform. Same nights, same set-out window, same location, same rules. The service itself does not change from their side.

We will draft the resident notice for you and check it before it goes out. If you want us on site for the first night alongside your team, we will be there.

5. “Am I signing a multi-year contract just to switch?”

No. Term length is negotiated per property and written into your Service Order. We do not push 36- and 60-month terms as a default — our pitch is fit and flexibility, not lock-in.

Our standard contract terms are being finalised with attorney review. Your specific term, renewal and notice provisions are set out in writing before anything is signed.

Who does what

Managers hesitate when they don’t know what they’ll be asked to do. Here is the split, so there are no surprises.

Switching questions

How long does the switch take?

Once your current agreement’s notice is handled, our onboarding runs about two weeks from signed agreement to first service night — final walkthrough, route setup, resident communication, and a pre-launch safety briefing. A first-week quality review follows launch.

Will there be a gap between providers?

Not by design. We set our launch date to follow your current provider’s last night, and we confirm their notice period in writing first. If your provider leaves early, tell us the same day and we will tell you honestly whether we can pull the launch forward.

Who owns the bins after we switch?

Usually your outgoing provider owns and removes the containers they supplied. Our standard model is resident-supplied sealed bags at the door. If your residents rely on containers, raise it before the switch date — we can supply them and price them in, or your current provider may agree to leave them.

Can we start mid-month?

Yes, and mid-month starts are common because they follow an incumbent’s notice period. Your billing basis and first invoice period are set out in the Service Order so the partial month is clear on both sides.
